- Data Collection and Reporting Specialist
Description
Community based non-profit organization is seeking a passionate, creative, motivated, flexible person for the role of Data Collection and Reporting Specialist to support the agency’s mission by ensuring accurate, timely, and confidential data collection, analysis and reporting across victim service programs. This position is responsible for maintaining data systems, preparing grant-related reports, supporting compliance requirements and providing data-driven insights to strengthen program quality, outcomes, and funding stability. The specialist works closely with program directors, advocates, and leadership to translate program activities into meaningful reports while maintaining survivor-entered, trauma informed, and culturally responsive data practices.

Responsibilities
- Maintain agency data systems used for client services, outcomes tracking and funder reporting
- Develop, update and standardize data collection tools, forms, and tracking templated across programs
- Ensure accurate, consistent, and timely data entry in compliance with program requirements
- Conduct regular data quality checks to identify missing, inconsistent, or inaccurate data and follow up with staff as needed
- Maintain secure data storage and confidentiality in accordance with agency policy, HIPAA/VAWA confidentiality standards, and funder requirements
- Prepare monthly, quarterly, and annual reports for state, federal, and private funders
- Track contract deliverables, performance measures, and reporting deadlines
- Support audit preparation and monitoring reviews by compiling data, outcomes and performance summaries
- Analize service trends, outcomes, and utilization to support program planning and improvement
- Produce internal dashboards, summaries, and reports to leadership, Board of Directors, and program managers
- Work collaboratively with program staff to improve data literacy and understanding of performance measures
- Train and support staff in data collection requirements, tools and best practices
- Create simple written guidance, checklists, and reporting calendars for staff use
- Server as point of contact for data-related questions from staff and funders
- Participate in agency meetings related to program evaluation, quality improvement and compliance
- Support cross-departmental projects involving data, outcomes, or reporting
- Other duties as assigned
Requirements
Associate or bachelor’s degree in social sciences, public health, data management, nonprofit administration, or a related field, or equivalent experience
Minimum of 2 years’ experience in data collection, reporting, or compliance in a nonprofit, government, or human service setting
Strong attention to detail, accuracy and the ability to manage multiple deadlines
Proficiency with Microsoft Excel and Word; experience with EmpowerDB and Redcap or similar database or case management system preferred
Knowledge of victim services, trauma-informed and survivor centered practices a commitment to equity, confidentiality and survivor safety
Ability to handle sensitive and confidential information with professionalism and discretion
Strong organizational and time management skills
Strong written and verbal communication skills
Occasional evening or deadline-driven work may be required
